Notion Free vs Paid Project Tools (2026): When a Solo Creator Should Actually Pay

Most one-person businesses can plan everything on a free plan. Here is what the paid tiers cost per year and the few limits that make paying worth it.

If you work alone, Notion Free is usually enough: Notion says individuals get unlimited pages and blocks. Pay only when you hit a specific limit, such as sharing a workspace with a second member, uploading files over 5 MB, or needing more than 7 days of page history. If you do pay for one tool, the cheapest seat in this comparison is Trello Standard at $60 a year.

Free planMain limitsHurts a solo creator when
Notion FreeUnlimited blocks for one person; limited blocks with 2+ members; 5 MB per file; 7-day page history; 10 guests; AI as a trialYou upload large files or add a partner as a member
Trello Free10 boards per workspace; 10 collaborators; 10 MB per file; 250 automation runs a monthYou run more than 10 active boards
Asana PersonalUnlimited tasks and projects; list, board, and calendar views; 100 MB per fileYou need timelines or reporting from paid tiers

When paying is worth it

  • You share a workspace with a VA or partner. Notion Free limits blocks once there are two or more members. Invite them as a guest first (10 allowed) before upgrading.
  • You store client files in the tool. 5 MB per file on Notion Free runs out fast with video or design files. Keep files in your existing cloud storage and link them instead.
  • You need to undo mistakes from last month. 7 days of page history is the real limit for a solo writer. Plus extends it.
  • You want built-in AI. Notion’s full AI features are on Business, not Plus. That is $288 a year per seat billed monthly, so price it against the AI subscription you may already pay for.

A simple rule

  1. Start on Notion Free or Trello Free. Write down the limit you hit, with the date.
  2. If you hit the same limit twice in a month, upgrade the one tool that has it. Do not run two paid planners.
  3. Re-check in 90 days. Cancel if you did not use the paid feature.
